The official payoff statement is the PDF you send a borrower or their title company confirming what it takes to close out the loan. Generate it from Close Out → Paid Off: open the loan, click Close Out, choose Paid Off, then Generate payoff statement.
The figures never change
Unpaid principal, accrued interest, late charges, fees, the total, and the per-diem for a slipped closing all come from the same payoff engine the dashboard and portal payoff cards use. Switching letter format never changes a dollar amount — only the boilerplate that follows it.
Letter format: Standard or Texas
A Letter format picker sits beside the good-through date and attention field:
- Standard — the plain payoff statement NoteHarbor has always generated.
- Texas — adds, after the same figures: a prominent attorney-review disclosure (the added language is a template, not legal advice — confirm current statute and this loan's own documents with a Texas-licensed attorney), release-of-lien language referencing Texas Property Code Chapter 51, and — only when the loan is flagged Homestead — a home-equity note clause (Tex. Const. Art. XVI, § 50(a)(6)) flagging extra release formalities worth confirming with counsel.
NoteHarbor suggests Texas automatically when the loan's property state is TX — it never forces the choice, and you can switch back to Standard any time.
Who can generate each variant
The Standard letter needs the same access as recording a payment (Manager and Team Member, and up). The Texas variant — and any state variant added later — carries extra legal-sensitive language and is Owner/Admin only; a Manager or Team Member won't see the Texas option offered.
Everything else stays the same
Wiring instructions are never on this letter — the lender sends those separately. Every generation is audited, and the downloaded file is named for the loan (with a -texas suffix for that variant).
This is the first state variant. Texas is a starting point — the framework behind it lets another state's boilerplate be added later without touching how the letter is triggered or how it's priced.
