NoteHarbor records who changed what, and when — automatically, on every account. Nothing to switch on.
What gets audited
Edits and deletions are logged across the app: loans, payments, escrow, insurance, county tax accounts, the tax-tracking profile, foreclosure cases and events, properties, borrowers, lenders, lienholders, and renters. Loan notes keep their own per-note edit history. Every audited edit stores the before → after values, so you can see exactly what changed.
The audit note on every edit
Every audited edit form carries a "Reason for change" field:
- For the account Owner it's optional (labeled "optional — audited") — the change is logged either way.
- For everyone else it's required, at least 5 characters — team members always say why they changed a record.
Destructive actions are stricter for everyone: deleting a payment (Admin-only) or a lienholder always takes a typed reason, whatever your role.
The per-loan Audit Log
Open any loan and select the Audit Log tab (the address looks like /loans/…?tab=audit). It lists every change to that loan and everything attached to it — payments, escrow, insurance, notes, tax profile, and foreclosure — newest first, in plain English, with the reason note and the before/after detail. It's read-only; you can't edit history, only review it.
Who can see it
The audit trail is visible to Owner and Admin only (Admins see it read-only). Managers and Team Members don't have access. See Team roles for the full breakdown.
Exporting the Audit Report
For your records, your accountant, or a compliance request, you can export your organization's entire audit trail at once:
- Go to Reports.
- Find the Audit Report card (shown to Owners and Admins).
- Pick CSV or PDF, optionally set a date range (leave the dates blank to export everything), and click Export.
The file lists every recorded action across all your loans — the date, what happened, which record, who did it, and the details.
Every payment, edit, and deletion is on the record. That paper trail is what makes your servicing defensible if anyone ever asks.
