Bring a partner, bookkeeper, or assistant into your account so they can work in the same loan book you do.

Who can add teammates

Inviting teammates, setting their access level, and removing them is available to the Owner and any Admin. The Owner is whoever created the account.

If you're a Manager or Team Member, you can open Settings → Team to see who's on the account, but you won't have the invite or access-level controls — that's expected. Ask your Owner or an Admin to send the invite, and tell them which access level you need.

1. Send the invite

Go to Settings → Team and find the Invite a teammate panel. Type their email address, pick their access level — Admin, Manager, or Team Member — and click Send invite. They'll get an email from NoteHarbor.

The level you pick rides along with the invitation and is applied when they join, so there's normally no second step. Owner is never offered at invite time. Because we'd rather never block someone's sign-in, a rare hiccup reading the invitation falls back to Manager instead of failing — so if you invited an Admin, glance at the Access levels list after they join and correct it if needed.

2. They accept

Your teammate opens the email, clicks the link, and creates their own password. That drops them straight into your account. Ask them to sign in once — that's what makes them appear on your Team page.

3. Change their access level later (optional)

They already have the level you picked in step 1. To change it, find them in the Access levels list at the top of Settings → Team and pick a new level from the dropdown. The Owner and Admins see this dropdown; Managers and Team Members see each person's level as a read-only badge.

  • Admin — everything except billing; also deletes records, manages the team, and views the audit trail. Good for a trusted operations lead.
  • Manager — create and edit loans, record payments, manage documents. Choose this for an assistant who will set up or service loans.
  • Team Memberthe same access as Manager, under a different label. It is not a view-only level: a Team Member can create and edit loans. There is no view-only seat; if you need someone who can't change anything, send them the CPA export rather than adding them to the account.

The invite form defaults to Manager, so if that's what you want, there's nothing more to do. See Team roles for exactly what each level can do.

If the invite didn't arrive

  • Ask them to check their spam or junk folder.
  • Double-check the email address you sent it to — one wrong character and it goes nowhere. Re-send to the correct address.
  • The invite stays pending until they accept, so they won't appear on your Team page until they've clicked the link and signed in once.

Heads up: your plan includes a set number of seats — Solo 1, Starter 2 (one user plus one assistant login), Pro 3, Business 6, and Enterprise unlimited. On Pro and Business you can add extra seats for $12/seat per month. If you're at your limit, add seats or upgrade under Settings → Billing (or remove an unused teammate first).
