Lease templates & generating documents

Build reusable lease, notice, and checklist templates with merge fields, then generate a filled document as a PDF or .txt for any tenancy — and start from a built-in rent-increase notice.

Stop re-typing the same lease. RentHarbor's Templates (/rentals/templates) let you write a document once and fill it per tenancy.

Build a template

Create a template of kind lease, notice, or checklist. Drop in merge fields that get substituted when you generate:

  • {{tenant}}, {{property}}, {{unit}}, {{rent}}, {{deposit}}, {{dueDay}}, {{startDate}}, {{landlord}}, and {{today}}.

Edit or delete templates from the same Templates Manager. If you don't have one yet, Add starter template drops in a ready Rent Increase Notice (a NOTICE kind) with fields for current rent, new rent, effective date, and notice date — edit it to taste.

Generate for a tenancy

Open a tenancy and click Generate document — the merge fields fill from that tenancy (renter names, address, rent, dates). If any placeholder is left unfilled, RentHarbor lists it and asks you to confirm before generating. Then choose Download PDF (clean org letterhead), .txt, or Save to documents (stores the PDF on the tenancy's Documents, audited). Leasing is also where you renew a tenancy or set its end date, and where inspections (move-in, move-out, routine) are scheduled with checklists.

Documents

Attach files to a tenancy on its Documents area — upload a file, or link an https:// document (e.g. Google Drive or Dropbox). Everything stays scoped to that tenancy.

Templates use simple {{field}} substitution, not a full scripting language — keep the fields to the list above.
