The renter portal

Invite a renter to a secure portal where they can see their balance, pay rent, and request maintenance.

Give each renter a secure, self-serve portal — their own view of the tenancy, separate from your landlord workspace.

Invite a renter

From the Renters page (/rentals/tenants), click Invite to portal on a renter who has an email on file. They receive a link to set up access; the button then reads Resend link, and a Portal badge shows once they're enabled. Renters sign in at their portal login with email and password.

What a renter can do

Signed in, a renter sees, for each active tenancy:

  • The property and unit and the tenancy status.
  • Their balance due, monthly rent, and due day.
  • Recent transactions from the rent ledger, with View full history for the complete ledger and running balance.
  • Record a payment — amount, method, and a reference — which posts to the tenancy's rent ledger, with an on-screen confirmation.
  • Request maintenance — a description and priority, which arrives in your Maintenance as a work order.
  • Your maintenance requests — a read-only list of the work orders on their unit with a live status (open, assigned, in progress, completed…) so they can see where each request stands.
  • Documents shared with you — files you've explicitly shared (see below), downloadable from the portal home.

Sharing documents

On a tenancy's or property's Documents area, each file has a Share toggle. Flip it on and the document appears in the renter portal for the renters on that scope (their tenancy, their unit or property, or documents attached to them directly); flip it off to withdraw it instantly. Sharing is off by default, every flip is audited, and the portal re-checks the renter's session and the share flag on every download — a renter can never reach an unshared file, even with a saved link.

How it's separate

The renter portal is its own signed-in area — renters don't have a NoteHarbor account and never see your other tenancies, loans, or reports. It's the rental counterpart to the loan-side borrower portal.

A renter only ever sees their own tenancies. Payments and maintenance requests they submit flow straight into your Rentals workspace.
