Storage in Settings: documents, receipts and photos

Find loan documents and photos, payment and charge receipts, property photos, and borrower and lease documents in one owner-only list, then open the original record.

Updated October 18, 2026

Settings > Storage gives the account owner one place to find the file records saved for the organization: loan attachments, property photos, borrower documents and lease-agreement documents. Each row shows the file name, its label, file type, recorded size and upload date, with a link to the original record.

Who can use it

Only the account Owner sees the Storage card in Settings and can open the page. Other roles do not see it, and neither does a NoteHarbor support session. If your session or organization changes while the page is open, the list clears; reload the page to continue.

What it lists

  • Loan attachments: loan documents, loan photos, payment receipts and expense receipts. Expense receipts appear as Charge receipt. Some older loan images appear as Loan document rather than Loan photo.
  • Property photos: photos saved with a property.
  • Borrower documents: files saved with a borrower.
  • Lease-agreement documents: files saved with a lease agreement.

Other file categories, such as property documents, rental files and Office attachments, are not included yet. This is a list of saved file records, not a complete inventory of every file in your account. An empty list means no included record matches your search, not that your account has no files.

Finding a file

  • File name: type part of a name and choose Search.
  • Category: All included categories, Loan attachments, Borrower documents, Lease-agreement documents or Property photos.
  • File type: PDF, JPEG, PNG, WebP, GIF or text files.

The newest uploads come first, one page at a time. Choose Continue for more. A page can come back with no matches while there are still records to check, and Continue keeps looking. Start over returns to the first page and Clear filters removes your filters.

What the receipt labels mean

A receipt still linked to its payment or charge shows as Payment receipt or Charge receipt with no extra label. Otherwise a label in parentheses tells you what changed:

  • Detached: the receipt was detached from its payment or charge. The file record stays on the loan.
  • Source removed: the payment or charge it came from was deleted. This does not mean the file was erased.
  • Payment reversed: the payment it belongs to was reversed. The receipt stays listed.

These labels describe the receipt's link only. Use the loan's payment history or charges to review the transaction itself.

Opening a file

Storage lists files; it does not preview, download, print, detach or delete them. Choose the link on a row to go to the original record, then open the file there:

  • View loan opens the loan's Documents tab, for every loan document, photo and receipt, even when a receipt's payment or charge is gone.
  • View property opens the property page.
  • View borrower and View lease agreement open those records.

The record page checks your access again before it shows anything.

Sizes are not your storage bill

Each size is the file's recorded size, not your storage billing. Storage shows no total, and two records can point to the same stored file, so adding the sizes up is not a billing figure. The list also does not check that each stored file can still be opened.

If a page does not load

Choose Try again to repeat the same page. If the list position is no longer valid, choose Start over to search again from the beginning.
