Servicing companies & who each fee goes to

Keep a list of the servicing companies you work with, then mark — fee by fee — who a loan's servicing fee is paid to. Record-keeping only: it never changes a payment, schedule, or payoff.

Some notes are serviced by an outside company, and the fee for that service belongs in the loan's record. NoteHarbor keeps a list of servicing companies and lets you mark, fee by fee, who the money goes to.

This is record-keeping, not money movement. A fee recorded here sits alongside the origination and processing costs captured when the loan was created: it never changes the payment, the schedule, or the payoff, and recording one neither bills nor pays anybody.

Three different "servicing fees" — don't mix them up

  • This one — a fee you record on a loan and attribute to a servicing company. Informational.
  • Servicing-fee netting — the fee you retain out of an investor's collections, netted on the payables ledger.
  • The borrower-side servicing fee, billed on top of the amount due.

Your list of servicers

Settings → Servicers holds the list. Each entry takes a company name (required) plus optional contact, email, phone, and notes. Names are unique inside your account.

Every plan includes one servicing company. Keeping several is a Pro capability — on Solo and Starter the Add button becomes an upgrade note once you have one. Editing and deleting work on every plan.

A servicer can't be deleted while a fee still points at it; NoteHarbor tells you how many fees to unassign first rather than quietly erasing the attribution from your historical records.

Recording a fee

On a loan, open Fees & Suspense → Servicing & loan fees and choose Add fee: a description, a type (Origination, Processing, Underwriting, Servicing, or Other), an amount, and Goes to (optional — up to 10) — tick one or more servicing companies from the checkbox list, or leave it blank (those show as Unassigned). The Servicing type is offered in the create-loan wizard too, so a note serviced by an outside company can carry its fee from day one. Edit and remove from the same table.

Every add, edit, and removal is written to the loan's audit trail; everyone except the account Owner supplies a short note explaining the change.

Reading the totals

The tab shows Servicing fees on this loan plus a Who they go to breakdown, and the loan Overview lists each fee with its destination underneath.

One caution: a fee assigned to more than one servicer is listed at its full amount under each. Those lines are destinations, not a split — NoteHarbor won't invent a division you never entered. If two companies genuinely share a fee, record it as two fees.
